The complete villa opening supply checklist (OS&E) for Bali.

A villa can be architecturally finished and still months from guest ready. This is the supply list we pack for new openings: per-key quantities, budget logic by tier, and the timeline that keeps the launch date honest.

Every opening we supply follows the same pattern: the building gets all the attention, the operating supplies get the leftover weeks. Then someone counts beds in August and discovers that custom furniture takes two months and custom linen takes three weeks. Bali added roughly 48,000 active short-term rentals to the market (AirDNA, 2026), and the ones that launch smoothly are the ones that ordered in the right sequence. Here is the full OS&E list, room by room, with the math.

The per-key quantity table

OS&E means operating supplies and equipment: everything that is not the building itself. Quantities below are per key, meaning per rentable bedroom, assuming two guests sharing.

Two property-level starters sit outside the per-key math: a pool chemical starter kit with a test kit and a quarter's chlorine, and a housekeeping chemical set sized to your surfaces, including stone and teak care if your architect used either. Almost every architect on Bali did.

Budget logic by tier

Per our price list, the per-key OS&E budget lands in three bands. Essentials, meaning solid commercial grade with stock designs, runs roughly IDR 12-20 juta per key. Commercial, the 4-star villa standard most managers pick, runs IDR 20-34 juta. Signature, with custom ceramics, premium sleep sets and branded amenities, runs IDR 34-58 juta per key. Add IDR 4-15 juta per property for the pool and chemical starters. One honest caveat on tiers: they are about guest segment, not vanity. A surf guesthouse in Seminyak filling with two-night stays earns nothing from Signature ceramics; a honeymoon villa in Ubud charging US$400 a night loses bookings on Essentials towels. Match the tier to the rate you intend to charge, and spend the difference where guests sleep and shower - those are the two line items reviews actually mention.

The timeline that actually works

  1. 8 weeks out: order custom furniture and anything built to drawings. Workshop production runs 5-8 weeks and there is no rushing kiln-dried teak.
  2. 5 weeks out: order mattresses if you need custom sizes (3-5 weeks) and custom-woven linen.
  3. 3 weeks out: order stock linen, towels and robes; custom embroidery still fits this window.
  4. 2 weeks out: room equipment, tableware, dispensers; confirm install dates for safes and locks.
  5. Final week: consumables only - amenity refills, coffee, glass water, pool and cleaning chemicals. These ship in 2-5 days on Bali and should arrive fresh, not sit in a hot storeroom.

The mistakes we see every season

  • Buying 1 par of linen to save cash: the set dies in months and a single stained sheet blocks a check-in
  • Household appliances instead of hotel-grade: a humming compressor minibar earns its own line in reviews
  • No mattress protectors: the first incident costs more than every protector in the building
  • Forgetting the pool: water chemistry starts before the first guest, not after the first algae bloom
  • Ordering everything at once, storing it on site for two months, and losing cartons to humidity and renovation dust

How far ahead should I start ordering for a new villa?

Eight weeks before the first booking if anything is custom. With stock items only, three weeks is workable, but you lose the custom options that make a villa photograph differently.

Can I open with Essentials tier and upgrade later?

Yes, and many owners do: open on Essentials, then move linen and tableware up a tier once revenue proves the concept. Mattresses are the one category worth buying right the first time.

Do you deliver and set up on site?

On Bali, yes: delivery, placement in rooms, assembly and packaging removal are standard on opening projects.
